How Eutraco Forwarding Streamlined Container Tracking and Scaled Customer Service with Dockflow

Eutraco is a 4PL logistics company with core business units in transport, warehousing, customs, and forwarding. Each business unit operates independently using its own TMS or WMS, allowing for focused control over operations.

Dockflow’s collaboration is specifically with Eutraco’s Forwarding Unit, responsible for managing import and export shipments. As shipment volumes increased, so did the need for better tracking infrastructure, driving the team to look for a more efficient and accurate solution.

The challenge: Manual updates and inconsistent data

Before implementing Dockflow, Eutraco’s Forwarding Unit relied heavily on manual processes to track each shipment and container. Updates were handled individually by the team, using carrier websites or external tools like MarineTraffic. However, the data across these sources was inconsistent and often inaccurate, resulting in unclear shipment timing.

At the same time, customers received shipment updates exclusively by email. There was no online tracking option available, which added further strain on the team and limited the customer experience.

The impact: Labour-intensive workflows and limited scalability

The manual effort required to keep shipment data up to date consumed valuable time. These repetitive tasks did not contribute meaningfully to the team’s ability to deliver high-quality service. As a result, the existing process became a bottleneck especially when managing larger accounts or higher shipment volumes.

Customers were affected as well. With no reliable source of truth and updates only available via email, they were unable to independently check on the progress of their shipments. Internally, the team was spending too much time checking updates and hoping for accuracy; time that could have been better spent resolving issues or supporting clients.

Previous attempts to solve this included Excel-based shipment overviews and reliance on the ERP system. But both proved too labour-intensive and unsuitable for scaling.

The solution: Integration with Dockflow and automated updates

With Dockflow integrated into Eutraco’s TMS, a significant portion of the manual work was eliminated. As soon as a container number or booking number is added to a shipment, Dockflow automatically begins tracking its progress. All updates are synced directly into the system without manual intervention.

The system can also send email notifications for shipment updates, either for every change or only for predefined conditions, allowing the team to stay informed without micromanaging.

Additionally, Dockflow’s online tracking tool now enables customers to check their shipment status directly. This reduces the volume of email communication and ensures that mail is only exchanged when necessary, such as in the case of disruptions or exceptions.

The result: Increased efficiency & improved service

Dockflow has enabled Eutraco to reallocate team capacity toward customer service and operational improvements. Time previously spent on updating shipments is now used to support clients more proactively or to resolve issues more efficiently.

The addition of an online tracking tool has also improved transparency for customers, allowing them to access accurate shipment progress without needing to ask, contributing to a higher overall service level.

Without Dockflow, the Forwarding Unit would still be relying on manual updates and direct customer communication for every shipment, with ongoing reliability concerns due to unclear data. The cost implications would also be significant, requiring additional staffing to manage the same workload.
